Hybrid Financial Ltd. has adopted this Privacy Policy in recognition of the importance of protecting the privacy and security of personal information collected through our business operations, websites, platforms, integrations and communications. This Policy applies to our clients, platform users, prospective clients and recipients of communications sent through our services.

This Policy explains what personal information we collect, the purposes for which we collect and use it, when it may be disclosed, how it is protected and retained, and how individuals may contact us regarding their personal information.

  • We protect the confidentiality and security of information we collect about our clients.
  • We may collect personal information from the following sources:
    • Information provided by clients, prospective clients, platform users and communication recipients;
    • Information provided through agreements, onboarding forms, support requests and other business communications;
    • Information obtained from publicly available sources and professional or regulatory databases;
    • Information generated through the use of our websites, platforms, integrations and communication services; and
    • Information provided by service providers, business partners or clients where permitted by law.
  • We do not disclose any nonpublic information about clients to anyone except as permitted or required by law. We share your information in the following cases:
    • In furtherance of our business relationship with non-affiliated third party financial companies, and then only to those persons necessary to effect the transactions and provide the services that they authorize (such as broker-dealers, custodians, independent managers etc.)
    • To persons assessing our compliance with industry standards (e.g., professional licensing authorities, etc.)
    • Information may be disclosed for audit or research purposes, to attorneys, accountants or other professionals, or to law enforcement and regulatory agencies to help, among other things, prevent fraud or money laundering.
    • We may disclose personal information to governmental authorities, regulatory bodies and trusted third-party service providers where permitted or required by law or where reasonably necessary to operate, administer, secure or support our services. Service providers are required to protect the information and may use it only for the purposes for which it was disclosed or as otherwise permitted or required by law.
  • Our employees are required to protect the confidentiality of information and to comply with our established policies. They may access information only when there is an appropriate reason to do so.
  • We also maintain physical, electronic and procedural safeguards to protect client information.

If a client terminates its relationship with us, we will continue to handle the client’s personal information in accordance with this Privacy Policy and applicable legal and regulatory requirements. Our policy about obtaining and disclosing information may change from time to time. We will provide notice of any material change to this policy before we implement the change.

We will provide a Privacy Policy to our clients when they commence doing business with us and on an annual basis thereafter.

Google User Data

As part of our service offerings, Hybrid Financial Ltd. may access certain Google user data through integrations you authorize, such as Google Workspace accounts or Gmail. This section outlines our handling of such data:

  • Types of Data Accessed: With your explicit consent, we may access basic profile information (such as your name and email address), Gmail metadata (e.g., sender, recipient, subject, timestamps), and mailbox content strictly limited to the scope necessary to deliver our services.
  • Purpose of Use: Google user data is accessed only to enable features within our platform that support outreach analytics, engagement tracking, and automation of communication workflows. We do not use your data for advertising, resell it, or share it for marketing purposes.
  • Data Protection Measures: We implement industry-standard security measures including end-to-end encryption, least-privilege access controls, OAuth 2.0 authentication, and periodic access audits. Google user data is stored securely in accordance with our internal security policies and regulatory obligations.
  • Data Retention and Deletion: Google user data is retained only for the duration necessary to deliver the specific functionality for which access was granted. Upon request or revocation of access, all associated Google user data is securely deleted from our systems within 30 days. You may revoke access at any time via your Google account permissions.

We comply fully with Google API Services User Data Policy, including the Limited Use requirements, and continuously review our practices to ensure alignment with evolving data protection standards.

Email Tracking Technologies

As part of communications sent by Hybrid Financial Ltd. or by clients using our services, emails may contain tracking technologies, including tracking pixels and tracked hyperlinks. These technologies may be operated directly by Hybrid Financial Ltd. or by trusted service providers acting on our behalf.  These technologies may collect information such as:

  • Whether and when an email was opened;
  • Which links within an email were clicked, and when; and
  • Technical information associated with the interaction, which may include the recipient’s IP address, approximate geographic location, device type, operating system, browser, email application and similar diagnostic information.

Email engagement information may constitute personal information under applicable privacy legislation and will be collected, used, disclosed, retained and protected in accordance with this Privacy Policy.

Purpose of Use: We use email engagement information to measure engagement with our communications, provide outreach and engagement analytics to our clients, improve the effectiveness and relevance of correspondence, administer and support our services, maintain security, troubleshoot technical issues, generate internal reporting, comply with legal and regulatory obligations, and protect or enforce our rights. We do not sell or rent email engagement information, and we do not disclose it to third parties for their own marketing or advertising purposes.

Access and Disclosure: Email engagement information may be accessed by authorized Hybrid Financial personnel, authorized users of the client account through which the communication was sent, and trusted service providers that host, process, secure, support or analyze communications on our behalf. Access is limited to persons who require the information to provide, support, administer or secure our services. Service providers are permitted to use the information only for the purposes of providing services to us or as otherwise permitted or required by law.

Consent and Other Permitted Uses: Where required by applicable law, Hybrid Financial Ltd. or the relevant client will obtain appropriate consent before using email tracking technologies. In other circumstances, email engagement information may be processed where permitted by law in connection with an existing business relationship, a contractual relationship, the administration of our services, or other legitimate business purposes. The legal basis and consent requirements applicable to a communication may depend on the sender, recipient, jurisdiction and nature of the relationship.

Tracking Preferences: Recipients who do not wish to have future email opens or link clicks measured may contact us using the privacy contact information below. Where reasonably practicable, we will disable tracking for future communications sent directly by Hybrid Financial Ltd. Requests concerning communications sent by a client using our services may need to be directed to that client, as the client may control the relevant communication and recipient preferences. Disabling image loading in an email application may prevent some open tracking, but it may not prevent the measurement of link clicks.

Retention: Email engagement information is retained only for as long as reasonably necessary to provide and administer the relevant services, support legitimate business and regulatory requirements, maintain appropriate business records, resolve disputes, enforce agreements and comply with legal obligations. Retention periods may vary depending on the nature of the information, the purposes for which it is used, contractual commitments and applicable legal or regulatory requirements. When no longer required, the information is securely deleted, anonymized or otherwise disposed of in accordance with our retention practices.

Cross-Border Processing: Email engagement information may be processed or stored in Canada, the United States or other jurisdictions in which Hybrid Financial Ltd., its clients or its service providers operate. As a result, the information may be subject to access by courts, law-enforcement authorities or regulatory authorities in those jurisdictions in accordance with applicable law.

Privacy Rights: Subject to applicable law and any permitted exceptions, individuals may request access to or correction of personal information held about them and may exercise other rights that apply in their jurisdiction, which may include requesting deletion of certain information, withdrawing consent or objecting to certain uses. Requests may be submitted using the privacy contact information below. We may need to verify the identity and authority of the person making the request before responding.
